Kentucky Golf Trail Policies & Terms

RESPONSIBILITY
The responsibility of The Kentucky Golf Trail (hereafter “KGT”) and/or its agents is limited. KGT acts solely as a booking agent for clients with respect to golf, lodging, transportation, tours, and related services. KGT assumes no liability for injury, loss, damage, accident, delay, or irregularity caused by defects in equipment, acts of God, war, fire, strikes, pandemics, government actions, weather conditions, mechanical breakdowns, or any other cause beyond its direct control. All services, including tee times, accommodations, and transportation, are provided by independent suppliers who are not employees or agents of KGT. Acceptance of a reservation constitutes consent to these terms. KGT shall not be held responsible for any act, omission, error, or negligence of any supplier or third party.

BOOKINGS, RESERVATIONS & PAYMENTS

  • A deposit of 50% of the total trip cost is required at the time of booking to confirm a reservation.

  • Final payment is due 30 days prior to arrival. Reservations made within 45 days of travel require full payment at booking.

  • If final payment is not received by the due date, KGT reserves the right to cancel the reservation and retain the deposit. Reinstating a cancelled booking may incur supplier penalties and a $25 re-booking fee.

CANCELLATION POLICY
All cancellations must be submitted in writing. Refunds are processed according to the following schedule:

  • 31 or more days before arrival: Refund of all payments minus a $50 per-person processing fee and any non-refundable supplier charges.

  • 15–30 days before arrival: 50% of total trip cost refunded, less any non-refundable supplier charges.

  • 14 days or fewer before arrival: No refund.

No refunds will be issued for unused services, early departures, or no-shows.

CHANGES & AMENDMENTS

  • Changes to an existing reservation may be requested up to 30 days prior to travel, subject to availability.

  • A $50 administrative fee plus any supplier charges will apply.

GOLF POLICIES

  • All golfers must check in at least 30 minutes before tee time.

  • Missed tee times due to late arrival, flight delays, or weather delays are at the discretion of the course and not the responsibility of KGT.

  • Once play begins, no refunds will be provided.

  • Rain does not automatically cancel play; only an official course closure qualifies for a refund, reschedule, or rain check (per course policy).

  • Rain checks may be issued at the course’s discretion, typically valid for future play. KGT does not issue cash refunds for rainouts.

  • Proper golf attire is required at all courses (collared shirts, Bermuda shorts, golf shoes). T-shirts, jeans, and cutoffs are generally prohibited.

INSURANCE
KGT strongly recommends that all guests purchase travel insurance to cover trip cancellations, health emergencies, lost baggage, or weather disruptions.

FORCE MAJEURE
KGT shall not be held responsible for failure to deliver services in cases beyond its control, including but not limited to acts of God, pandemics, war, terrorism, labor strikes, weather conditions, or supplier failure. In such cases, credits, rescheduling, or vouchers may be offered at KGT’s discretion, subject to supplier availability and terms.

LIABILITY DISCLAIMER
The Kentucky Golf Trail acts solely as an intermediary between clients and independent suppliers. KGT does not own, manage, or operate hotels, golf courses, airlines, or transportation companies. As such, KGT is not liable for any injury, illness, property damage, inconvenience, or loss caused by the negligence or default of any supplier or third party.

ACCOMMODATIONS

  • Room Requests: Bedding types, special requests, and room locations are subject to availability and cannot be guaranteed.

  • Hotel Substitution: KGT reserves the right to substitute lodging of equal or higher quality in cases of overbooking, renovation, or unforeseen unavailability.

  • Check-In/Out: Standard times apply per property. Early check-in/late check-out may incur additional charges payable directly to the property.

  • Incidental Charges: Guests are responsible for all personal expenses (minibar, parking, room service, damages, resort fees). A valid credit card is required at check-in.

  • Room Damage/Violations: Guests are responsible for any damage or smoking violations; charges are applied directly by the property.

GUEST RESPONSIBILITIES
Guests are responsible for:

  • Adhering to all golf course and hotel rules.

  • Meeting dress code standards.

  • Providing valid travel documentation (ID, passports, visas if applicable).

  • Maintaining respectful conduct; failure to comply may result in removal without refund.
